Hamtown, LLC, doing business as Ready Families ("Company," "We," "Us," or "Our"), operates CoParentCompass (the "Service" or "Platform"), a co-parenting coordination platform accessible at coparentcompass.com and through our mobile applications.

We understand that you are trusting us with sensitive information about your family, and we take that responsibility seriously. This Privacy Policy explains how we collect, use, disclose, and protect your personal information when you use our Service. It also describes your rights and choices regarding your information.

By using CoParentCompass, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree with our practices, please do not use the Service.

1. Information We Collect

We collect information in several ways: directly from you, automatically when you use the Service, and from third parties.

1.1 Information You Provide Directly

Account Information

When you create an account, we collect:

  • Full name
  • Email address
  • Password (stored in encrypted form)
  • Phone number (optional, for notifications)
  • Profile photo (optional)

Co-Parenting Information

To provide our co-parenting coordination services, we collect:

  • Information about your children (names, birthdates, photos)
    • Note: We do NOT collect or store last names for children under 13.
  • Custody and visitation schedules
  • Co-parent contact information (when you invite them to the Platform)

Communication Content

  • Messages sent through the Platform's secure messaging system
  • Notes and comments on calendar events
  • Expense descriptions and documentation

Financial Information

  • Expense records you enter (amounts, categories, descriptions)
  • Receipt images and documentation you upload
  • Payment information for subscription billing (processed by third-party payment processors)

Documents and Media

  • Documents you upload to the document storage feature

1.3 Information from Third Parties

Co-Parent Information

When your co-parent joins the Platform and connects with you, we receive information they provide about your shared children and co-parenting arrangements.

Professional Accounts

If you authorize a Professional (attorney, mediator, therapist, etc.) to access your account, they may provide information related to your case.

Authentication Providers

If you sign in using a third-party service (such as Google or Apple), we receive basic profile information as permitted by your settings with that service.

Payment Processors

Our payment processors provide us with transaction confirmation and limited payment information (we do not receive or store full credit card numbers).

1.4 Information About Non-Users

When you use the Service, you may provide information about your co-parent or children who have not created accounts. We use this information solely to facilitate your use of the Service and to enable your co-parent to connect with you if they choose to join. We do not use non-users' information for marketing purposes.

1.5 Biometric Information

We do not collect biometric information (such as fingerprints, facial geometry, voiceprints, or other biometric identifiers) for identification purposes. Photos you upload are stored as image files and are not processed for biometric identification or facial recognition.

We use your information for the following purposes:

  • Sending service-related notifications (new messages, schedule changes, expense submissions)
  • Providing account security alerts
  • Sending subscription and billing information
  • Responding to your inquiries and support requests
  • Sending product updates and announcements (with your consent)

2.3 Safety and Security

  • Detecting and preventing fraud, abuse, and security incidents
  • Enforcing our Terms of Service and policies
  • Protecting the rights and safety of users
  • Complying with legal obligations

  • Responding to legal process (subpoenas, court orders)

3. How We Share Your Information

We do not sell your personal information to third parties. We share your information only in the following circumstances:

3.1 With Your Co-Parent

When you connect with a co-parent on the Platform, certain information is shared between you:

  • Messages you send to each other
  • Shared calendar events and schedules
  • Shared expense records
  • Documents you choose to share
  • Information about your shared children

Important: Your Timeline entries and any content you designate as private are NOT shared with your co-parent unless you explicitly choose to share them.

3.2 With Authorized Professionals

If you grant access to a Professional Account (attorney, mediator, parenting coordinator, guardian ad litem, therapist), they may view:

  • Your Platform activity as specified in the access permissions you grant
  • Shared communications and records
  • Information relevant to their professional role

You control which Professionals have access and can revoke access at any time.

3.3 With Service Providers

We share information with third-party service providers who help us operate the Service:

All service providers are contractually obligated to protect your information and use it only for the purposes we specify.

3.4 For Legal Reasons

We may disclose your information when we believe it is necessary to:

  • Respond to lawful requests from public authorities, including law enforcement
  • Protect the rights, property, or safety of the Company, our users, or others
  • Enforce our Terms of Service or other agreements
  • Detect, prevent, or address fraud, security, or technical issues

Court Orders and Subpoenas: We will comply with valid court orders and subpoenas. When permitted by law, we will attempt to notify you before disclosing your information in response to legal process.

3.5 Business Transfers

If the Company is involved in a merger, acquisition, bankruptcy, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change and any choices you may have regarding your information.

3.6 With Your Consent

We may share your information for other purposes with your explicit consent.

3.7 Aggregated and De-Identified Information

We may share aggregated or de-identified information that cannot reasonably be used to identify you for any purpose, including research, marketing, and analytics.

For Professional Account holders or organizations that require a Data Processing Agreement (DPA) for compliance purposes, please contact legal@coparentcompass.com to request our standard DPA.

4. Data Retention

4.1 Retention Periods

We retain your information for as long as necessary to provide the Service and fulfill the purposes described in this Privacy Policy. Given the documentation purpose of CoParentCompass, we retain records for extended periods to support potential legal proceedings.

4.2 Immutable Records

Certain records within the Platform are designed to be immutable once created or shared, meaning they cannot be edited or deleted. This includes:

  • Messages sent to your co-parent
  • Submitted expense requests
  • Shared calendar events (edit history preserved)
  • Audit logs and timestamps

This immutability is a core feature designed to maintain documentation integrity for potential legal use.

4.3 Children's Data Retention

Personal information collected from children through the Children's Portal is retained only as long as reasonably necessary to fulfill the purpose for which it was collected. When a child's account is deactivated by a parent, or when a child ages out of COPPA protections (reaches age 13), we will delete their personal information within ninety (90) days, unless:

  • Retention is required by law
  • The parent requests retention for documentation purposes
  • The information is part of shared records with both parents

4.4 Deletion Requests

You may request deletion of your account and personal information, subject to:

  • Legal retention requirements
  • Shared Data (requires consent of both co-parents)
  • Legitimate business needs (fraud prevention, dispute resolution)
  • Backup retention schedules (backups are purged within 90 days)

4.5 Account Closure

When you close your account:

  • Your profile becomes inactive
  • Your access to the Platform is terminated
  • Shared Data remains available to your co-parent
  • Data is retained according to the schedules above
  • After the retention period, data is securely deleted

5. Data Security

5.1 Security Measures

We implement industry-standard security measures to protect your information:

6. Your Rights and Choices

6.1 Access and Portability

  • Export your records through the Platform's export features

6.2 Correction

You have the right to:

  • Update your account information at any time through your account settings
  • Request correction of inaccurate information
  • Note: Immutable records (sent messages, submitted expenses) cannot be edited, but you can add corrections or clarifications

6.3 Deletion

You have the right to request deletion of your personal information, subject to the limitations described in Section 4.4. To request deletion:

6.4 Communication Preferences

You can manage your communication preferences:

  • Email Notifications: Adjust in your account settings
  • Push Notifications: Manage through your device settings
  • Text Message Notifications: Reply "STOP" to any message or adjust in account settings
  • Marketing Communications: Unsubscribe using the link in any marketing email

Note: You cannot opt out of essential service communications (security alerts, billing notifications, legal notices).

6.5 Do Not Track

Our Service does not currently respond to "Do Not Track" browser signals. However, you can manage cookies and tracking as described in Section 13.

6.6 Exercising Your Rights

To exercise any of these rights:

  • Self-Service: Use the tools available in your account settings

  • Mail: Write to us at the address in Section 15

We will respond to requests within 45 days (or as required by applicable law). We may request verification of your identity before processing requests.

7. Children's Privacy (COPPA Compliance)

7.1 Our Commitment

CoParentCompass is committed to protecting children's privacy and complies with the Children's Online Privacy Protection Act (COPPA). We do not knowingly collect personal information from children under 13 without verifiable parental consent.

7.2 Children's Portal

Our Children's Portal feature allows children to participate in limited Platform features with parental oversight:

For Children Under 13:

  • Accounts must be created by a parent or legal guardian
  • Verifiable parental consent is required before any data collection
  • Parents control all account settings and access
  • We collect only information necessary for the features used

For Children Ages 13-17:

  • Parental authorization is required for account creation
  • Age-appropriate features and limitations apply
  • Parents retain oversight through parental controls

7.3 Information Collected from Children

With parental consent, we may collect from children:

  • First name (as provided by parent)
  • Age or date of birth (to enforce age-appropriate restrictions)
  • Emotion check-ins (emoji selections — see Section 7.4)
  • Messages to parents through the Platform (pre-composed labels only for younger children)
  • Schedule preferences or requests (limited views for younger children)

We do NOT collect from children:

  • Social Security numbers
  • Precise geolocation
  • Photos (unless parent-enabled and supervised)
  • Contact information for third parties
  • Information for behavioral advertising

7.4 How We Use Children's Information

Children's information is used only to:

  • Provide the Children's Portal features
  • Facilitate communication with parents
  • Display schedules (restricted to a 3-day lookahead for children under 13)
  • Enable emotion check-ins (Data Minimization: For children under 13, we only store the current selection. No historical log is maintained).
  • Receive encoded encouragement emojis from parents.

We do NOT use children's information for:

  • Advertising or marketing
  • Creating behavioral profiles
  • Sharing with third parties (except service providers necessary to operate the feature)
  • Any purpose beyond providing the requested features

7.5 Parental Rights

Parents have the right to:

  • Review information collected from their child
  • Request deletion of their child's information
  • Refuse further collection of their child's information
  • Revoke consent at any time

8. California Privacy Rights (CCPA/CPRA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA).

We do not share your personal information for cross-context behavioral advertising.

8.5 Your California Rights

As a California resident, you have the right to:

  • Right to Delete: Request deletion of your personal information, subject to certain exceptions.
  • Right to Correct: Request correction of inaccurate personal information.
  • Right to Opt-Out: Opt out of the sale or sharing of personal information (not applicable as we do not sell or share for advertising).
  • Right to Limit Use of Sensitive Personal Information: Limit the use of sensitive personal information to purposes necessary to provide the Service.
  • Right to Non-Discrimination: We will not discriminate against you for exercising your privacy rights.

We will verify your identity using information associated with your account. You may designate an authorized agent to make requests on your behalf.

8.8 Sensitive Personal Information

Under CPRA, "sensitive personal information" includes government identifiers, financial account information, precise geolocation, racial or ethnic origin, religious beliefs, contents of communications, genetic data, biometric data, health information, and sex life or sexual orientation information.

We may collect limited sensitive personal information necessary to provide the Service, including:

  • Account credentials (password)
  • Contents of messages you send through the Platform
  • Precise geolocation (only if you enable location features)

Your Right to Limit: You have the right to limit the use and disclosure of your sensitive personal information to uses necessary to provide the Service. We only use sensitive personal information for purposes permitted under CPRA, including providing the services you request. To exercise your right to limit, contact privacy@coparentcompass.com.

9. Other State Privacy Rights

9.1 Virginia (VCDPA)

Virginia residents have rights similar to California residents, including the right to access, correct, delete, and obtain a copy of personal data, and to opt out of targeted advertising, sale of personal data, and profiling. To exercise these rights, contact privacy@coparentcompass.com.

9.2 Colorado (CPA)

Colorado residents have rights to access, correct, delete, and opt out of targeted advertising and sales of personal data. To exercise these rights, contact privacy@coparentcompass.com.

9.3 Connecticut (CTDPA)

Connecticut residents have rights to access, correct, delete, obtain a copy of, and opt out of targeted advertising, sales, and profiling. To exercise these rights, contact privacy@coparentcompass.com.

9.4 Utah (UCPA)

Utah residents have rights to access, delete, and opt out of sales and targeted advertising. To exercise these rights, contact privacy@coparentcompass.com.

9.6 Appeals

If we deny your privacy request, you have the right to appeal. To appeal, email privacy@coparentcompass.com with "Privacy Appeal" in the subject line, including the original request and reason for appeal. We will respond to appeals within the timeframes required by applicable law.

10. International Users

10.1 Data Location

CoParentCompass is operated from the United States. If you access the Service from outside the United States, your information will be transferred to, stored, and processed in the United States, where data protection laws may differ from those in your country.

10.2 Legal Basis for Processing (EEA/UK Users)

If you are in the European Economic Area (EEA) or United Kingdom, our legal bases for processing your personal information include:

  • We do not use your personal content to train general AI models shared with other users
  • We do not sell or share your content with third-party AI providers for their training purposes
  • We do not create profiles about you for advertising based on AI analysis

12.3 AI Data Processing

  • AI analysis is performed to provide the requested feature
  • Results are displayed to you in real-time
  • We may retain de-identified, aggregated data to improve AI accuracy
  • You can disable AI features in your account settings

12.4 AI Limitations

AI features are provided as aids, not replacements for human judgment. AI analysis:

  • May produce different results for similar inputs

12.6 Automated Decision-Making

Our AI Features provide suggestions and analysis to assist your communication. These features do not make automated decisions that produce legal or similarly significant effects on you. All final decisions about what to send or how to communicate remain with you.
